Contact and event enquiries
We process your name, email address, telephone number, event type, any event date and location you provide, and your message to respond, discuss your requirements and prepare an offer. The legal basis is taking steps at your request before entering into a contract (Article 6(1)(b) GDPR). For other correspondence, including contact with a company representative, it is our legitimate interest in handling enquiries (Article 6(1)(f) GDPR).
Providing information is voluntary. Your name, email, telephone number, event type and message are required to submit the form; you can also contact us directly by email or telephone. Please do not send sensitive information or unnecessary guest details. An enquiry is neither a booking nor a newsletter subscription.
Hosting, email and recipients
dhosting hosts the website. Form enquiries are sent through a cyber_Folks mail server directly to a Gmail account used for business (Google). The public contact address remains kontakt@zawodowi.com; correspondence sent to that address is also forwarded to Gmail. Authorised staff and providers of hosting, email and technical support may access data as necessary to provide their services.
Retention and security
The technical copy of an enquiry in WordPress is scheduled for automatic deletion after 90 days, when the scheduled task runs. FluentSMTP delivery logs, which may contain addresses and message content, are set to be deleted after 14 days. These periods do not delete correspondence from mailboxes or backups.
Correspondence concerning enquiries that do not result in a booking is deleted no later than 12 months after discussions end. Correspondence needed to establish, exercise or defend legal claims is retained for as long as necessary for that purpose. Messages are deleted manually from the mailboxes accessed through Roundcube and Gmail. Records relating to concluded contracts are subject to separate retention periods based on contract performance and legal obligations. Abuse protection uses temporary tokens and a hash of the IP address. The raw IP address is not added to the enquiry text, but may appear in server logs alongside connection times and browser information. Security and troubleshooting serve our legitimate interests.
Videos, external services and cookies
YouTube and Instagram players may connect to Google and Meta as their section loads, before playback starts. They may transmit your IP address and browser information and use cookies or other storage technologies. Using youtube-nocookie.com does not mean that no data is transferred. Other social links open external services when clicked.
The custom theme does not include our own analytics or advertising tools. WordPress and technical services may use mechanisms necessary for sessions, sign-in and security. See the privacy notices of Google and Instagram / Meta. These services may involve processing outside the EEA; their documentation explains the transfer mechanisms they use.
Your rights
Subject to the GDPR, you can request access, rectification, erasure, restriction and portability of your data. You may object to processing based on legitimate interests and withdraw consent where a particular operation relies on it, without affecting earlier lawful processing. You may complain to the Polish supervisory authority, the President of UODO (uodo.gov.pl), or another competent supervisory authority. We do not use the form to make solely automated decisions with legal effects or profile customers for that purpose.
